What Is Pre-Accounting?

What is pre-accounting? Tracking accounts, stock, invoices and collections

Pre-accounting (ön muhasebe) is the process of recording a business's day-to-day commercial transactions: issuing invoices, recording incoming invoices, tracking customer and supplier balances (current accounts), following stock, and processing collections and payments. Most of the data that later goes into general accounting and tax returns is created at this stage.

What does pre-accounting cover?

  • Invoicing: Issuing sales invoices and recording incoming invoices.
  • Current accounts: Receivables and payables per customer and supplier.
  • Stock tracking: Product movements and warehouse status.
  • Cash and bank: Collections, payments, cheques and notes.
  • Reporting: Sales, collection and profitability reports.

Pre-accounting vs general accounting

Pre-accounting keeps the daily records; general accounting posts them to the statutory ledgers (journal and general ledger), prepares financial statements and files returns, usually together with a financial advisor. Working from the same data on both sides reduces errors.

How do pre-accounting and e-Invoice work together?

In businesses issuing e-Invoices, e-Archive Invoices and e-Despatch notes, the invoice data is created in the pre-accounting software. When that software is integrated with a private integrator, invoices are sent without being re-entered by hand.

eKüpSoft is not pre-accounting software; it is a GİB private integrator that works integrated with the pre-accounting or ERP software you use. There are ready-made integrations for more than 90 programs such as Logo, Mikro, Zirve and ETA. Check whether your software is listed on our Accounting and ERP Integrations page; if it is not, Connector can link it via database connection, API, file transfer or a virtual printer.

What to look for in pre-accounting software

  1. e-Document integration: Does it work automatically with e-Invoice, e-Archive and e-Despatch?
  2. Sharing data with your advisor: Can records be transferred easily to general accounting?
  3. Scalability: Will it meet your stock, branch and user needs as you grow?
  4. Support: Can you get help quickly when something goes wrong?

Conclusion

Pre-accounting keeps the daily pulse of your business. Connecting your pre-accounting software correctly to your private integrator saves time and reduces errors during e-Transformation. Get a free transition consultation to check your software's compatibility.
