What Is e-Despatch?

An e-Despatch note (e-İrsaliye) replaces the paper delivery note and has the same legal status. It is issued when goods are shipped, created in the GİB standard (UBL-TR) and delivered to the recipient through the GİB system.
Who must use e-Despatch?
According to GİB's e-Despatch page, the general threshold is gross sales revenue of 25 million TL or more. Some sectors (e.g. goods on SCT list (I)) have lower thresholds or no revenue threshold.
Thresholds are updated periodically under VUK General Communiqué No. 509. See GİB's e-Despatch page or contact us for your current status. Businesses outside the obligation can also switch voluntarily.
How does it differ from a paper delivery note?
- Electronic delivery: The note is not printed and handed over; it is sent to the recipient's system through GİB.
- Recipient response: The recipient can report the goods received with an e-Despatch response, so shortages or surpluses are recorded.
- Archive and search: Documents are stored electronically and can be found in seconds from the panel.
- Accounting integration: Delivery notes are created in bulk from the shipment records in your accounting or ERP software, without re-entering data.
How do you switch to e-Despatch?
- Financial seal or e-Signature: Companies use a financial seal; sole proprietors use an e-Signature.
- Registration and application: Apply for e-Despatch and authorise eKüpSoft as your private integrator.
- Integration: Your accounting or ERP software is connected to eKüpSoft.
- Testing and go-live: Test delivery notes are validated.
e-Despatch and e-Invoice together
The invoice for goods shipped with an e-Despatch note is usually an e-Invoice or e-Archive Invoice. Managing both through the same private integrator makes matching delivery notes and invoices easier. See What is an e-Invoice? for details.
Conclusion
e-Despatch takes delivery notes off paper and records the delivery process. Whether you are under the obligation or want to switch voluntarily, see our e-Despatch page or get a free transition consultation.
